
Designing & Implementing Virtual Exhibitions
A nine-stage workflow for museum and heritage professionals planning a virtual exhibition

In a virtual exhibition, space is transformed into an interpretive tool with greater ease. Walls can move, rooms can branch, light can shift to reinforce a narrative, and atmosphere becomes part of the message rather than a fixed condition of the venue. In many cases, the digital space itself constitutes a work of art — a designed environment that carries meaning before a single object is placed inside it. Where a conventional gallery is limited by floor plans, fire codes, and the physical dimensions of artifacts, a virtual exhibition is limited only by imagination, intent, and the time invested in building it.
The most significant difference, however, lies in duration of both the exhibition itself and the visit. Virtual exhibitions provide permanent, free, and global access to all or part of the content of an exhibition program. They are not constrained by opening hours, geography, or the rotation cycle of a museum’s physical halls. They also open space — literally — for supplementary archival material that would be almost prohibitive to display in a physical venue: full correspondence, raw footage, study sketches, archival audio, deep-zoom scans, comparative material from other institutions. The exhibition becomes both a curated experience and a research-grade resource.
In both formats, physical and virtual, the way information is received depends on two things: the design of the exhibition, and the interactive capabilities offered to the visitor. A poorly designed virtual exhibition is no more meaningful than a poorly designed physical one. The advantage of the virtual format is that good design has fewer limits to push against.
The design, organization, and production of a virtual exhibition typically involves the following stages.
1. Topic Selection
Every exhibition begins with a question worth asking. Topic selection is not simply naming a subject; it is identifying a thesis that the collection can defend and that visitors can carry with them afterward.
A strong topic for a virtual exhibition usually meets three criteria. First, substance: the subject is rich enough to sustain a structured narrative across multiple sections. Second, fit with the medium: the topic benefits from the affordances of virtual space, such as non-linear browsing, layered media, immersive atmosphere, or geographically dispersed audiences. Third, alignment with the institution: the topic connects to the mission of the museum, archive, university, brand, or creator producing the exhibition, and to the audience that will be invited to visit it.
At this stage, it is also useful to articulate the constraints: timeline, available collections, rights and permissions, languages to support, and the level of interactivity the team can realistically deliver. A topic that survives those constraints is one that can move forward.
2. Scholarly Research & Content Documentation
The scholarly preparation of an exhibition is a complex task that includes documenting the objects of one or more collections. This goes beyond labeling. Each object needs provenance, dating, attribution, condition, related literature, and the layers of meaning that connect it to the central thesis of the exhibition.
Classifying objects into categories is a necessary prerequisite for the proper organization and management of the collections. Categories may be thematic (subject, motif, period), formal (medium, technique, format), or contextual (origin, function, ownership history). A well-built classification system is what later allows for clean thematic sections, faceted search inside the exhibition, and the discovery of unexpected connections between artifacts.
For a virtual exhibition, documentation also has a forward-facing role: it becomes the structured data that powers captions, audio guides, search, multilingual variants, accessibility descriptions, and any AI-assisted interaction layered on top of the experience. The quality of the documentation, in other words, sets the ceiling for the quality of everything that follows.
3. Recording and Capturing
Digital records are entered into a database or a structured spreadsheet (such as an .xls file). The resulting catalog is not static; rather, it can serve as a targeted and personalized index with the capability for thematic searches, cross-references, and dynamic groupings during exhibition design.
A digital record can take many forms, each contributing a different texture to the final experience:
- A text: a letter, article, poem, manifesto, narrative, transcription, or scholarly note. Text records carry context, voice, and argument.
- An image: a photograph, painting, sketch, drawing, technical diagram, or photographic reproduction of a manuscript or newspaper clipping. Images are often the visual anchors of an exhibition.
- A moving image: video, animation, interactive games, or recorded performance. Moving images add time and motion to the narrative.
- An audio recording: music, speech, radio broadcasts, oral histories, interviews, or ambient soundscapes. Audio shapes mood and gives voice to absent witnesses.
- A 3D object: a digital 3D model of an artifact, sculpture, scale model, building, or environment. 3D records let visitors examine objects from angles that physical display would never allow.
Each record type comes with its own capture standards — resolution, color profile, sample rate, polygon count, metadata schema. Establishing those standards early prevents costly rework once the exhibition begins to take shape.

4. Museological Approach
This is the stage at which the exhibition acquires a point of view. The team articulates the central concept, the objectives, and the messages the exhibition is meant to communicate, and then defines the content and thematic framework within which those messages will live.
The central concept is the through-line, the single sentence that a visitor should be able to repeat after leaving. Objectives translate that concept into intent: what should visitors learn, feel, question, or remember? Messages then become the specific arguments and observations that support the concept across sections.
The thematic framework organizes those messages into a structure that can be experienced in space. It defines the sections of the exhibition, the relationships between them, and the conceptual hierarchy: what is foreground, what is supporting context, and what is invited but not required. In a virtual exhibition, this framework also informs decisions about navigation (whether the experience should be linear, branching, or fully open) and about the role of any guides, narrators, or AI assistants that accompany the visit.
5. Curation of the Exhibition Program
Shaping the content and structure of the exhibition involves the detailed description of thematic sections, the selection of objects and media for each section, and the adaptation and harmonization of individual sections into a unified study with a common narrative.
At this stage, the exhibition scenario is developed in the form of an accessible narrative. Objects and interpretive media are integrated into that narrative in such a way as to help visitors decode the meanings and messages of the exhibition. Curation, in this sense, is closer to writing than to arrangement: it is about pacing, contrast, surprise, and resolution.
Several decisions are made and locked in here. Which objects open the exhibition, and which close it? Where does the visitor encounter the central thesis, at the entrance, or as a discovery near the end? Where should density of information be high, and where should the experience breathe? Which sections invite exploration, and which insist on a particular path? In a virtual exhibition, these choices are even more decisive than in a physical one, because the medium itself rarely imposes a single route — the curation has to.
6. Content Production
With the program defined, the team moves into production: the practical work of creating, refining, and preparing every asset that will appear in the exhibition.
This stage typically includes the writing, translation, and editing of accompanying texts: wall texts, object labels, section introductions, audio-guide scripts, and any supplementary essays. Texts are written for the screen rather than the wall, which means shorter sentences, clearer signposting, and a structure that respects the reader’s ability to skim, dive in, and move on.
Production also covers the graphics, video, and audio files that animate the exhibition: motion typography, transition sequences, ambient soundscapes, narrated guides, and short films. 3D modeling of exhibits is carried out where physical artifacts need to be reproduced digitally, with care taken to balance fidelity and performance. The model needs to look right and load smoothly on the devices the audience will use.
Finally, the team produces the additional interpretive tools that distinguish a virtual exhibition from a static online gallery: interactive timelines, comparative views, deep-zoom viewers, layered annotations, branching quizzes, and accessibility features such as audio descriptions, sign-language inserts, transcripts, and simplified-text alternatives.
7. Design and Implementation of the Exhibition Space
At this stage, the set of the exhibition is constructed. Once the exhibition media have been clarified, the scenography is designed: the arrangement of rooms, the choice of materials and atmospheres, the lighting, the soundscape, and the visual identity of the space.
Spatial design is, in the majority of cases, carried out at the scale of a physical space. This is intentional as it preserves the human proportions that visitors instinctively understand and prevents the disorientation that comes from rooms that are too vast, corridors that are too narrow, or objects that are scaled out of relationship with one another. Even when the virtual environment takes liberties with physics or geometry, those liberties are usually most effective when they depart from a familiar baseline.
Finally, the 3D space that will host the exhibition is built. Depending on the project, this may be a faithful reconstruction of an existing venue, a stylized environment that reinforces the exhibition’s theme, or an entirely imaginary world. Performance, accessibility, and cross-device behavior are considered alongside aesthetics; a beautifully designed space that fails to load on a school laptop will fail its audience.

8. Exhibition Set-Up
With the space built, the team moves to set up: the spatial arrangement and placement of objects and interpretive media in accordance with the design of the exhibition program.
This is the stage at which curation becomes physical, or, in the virtual case, spatial. Decisions made on paper meet the reality of the environment. Sight lines are tested. Objects are grouped and regrouped to manage visual rhythm. Interpretive media are positioned so that they support rather than compete with the artifacts they explain. Lighting, audio zones, and ambient cues are tuned so that each section has its own character without breaking the overall flow.
Quality control matters here as much as design. Every label is checked, every translation verified, every interactive element tested across devices. The goal is an exhibition that feels considered in every corner, including the corners most visitors will never see.
9. Guided Tour Design
In the final stage of preparing a virtual exhibition, a guided tour through the space is designed, with specific stops and points of interest. The tour is not a replacement for free exploration; it is a curated path for visitors who want a complete and structured experience without having to design their own route through the material.
The visit is organized so as to offer a defined completion time, proportionate to the volume of information available, in order to accommodate visitors with limited time. A well-designed tour respects attention: it has a clear beginning, a rhythm of denser and lighter moments, and an ending that returns the visitor to the central message of the exhibition. Where appropriate, tours are offered in multiple lengths (a “highlights” route alongside the full experience) and in multiple languages.
Guided tours in a virtual exhibition can also do things their physical counterparts cannot. They can be narrated by a curator, an AI guide, or a character relevant to the subject matter. They can adapt to the visitor’s level — younger audiences, specialists, accessibility users. They can include built-in pauses for reflection, prompts for discussion, or links to supplementary archival material for visitors who want to go deeper.
At this point, the exhibition is ready to open — and, unlike its physical equivalent, ready to stay open. A virtual exhibition does not close at the end of a season. It continues to invite visitors, evolve through new material, and serve as a permanent extension of the institution that built it.
